Bid Coordinator – Maternity Cover – 12 month contract

Location:          Bromley, Kent

Reporting to:    Head of New Business

Hours:              Monday – Friday, 8am – 5pm. Flexibility required on occasion

Contract:          Permanent

Salary:              £25,000 – £30,000 per annum. Dependent on experience

Main Purpose of Role

Working alongside the Head of New Business, the Bid Coordinator will need to produce PQQ’s (pre-qualification questionnaires), tenders and other proposals documents. This will be a demanding role and will suit someone who is able to manage their time and work to tight deadlines.

Specific Responsibilities 

  • Completion pre-qualification questionnaires and tender submissions.
  • Managing multiple concurrent complex PQQs and tenders.
  • Ensure compliance with corporate branding and standard formatting. Ensure that common brand identity and graphic standards are used across all media.
  • Understanding of the Pre-qualification and Tender process.
  • Assist in research for market intelligence, client intelligence and client base. Collate basic facts including client, location, type, value, programme. Research client policy, objectives, strategy, past projects , etc. Research project history, context, local community, stakeholders, etc.
  • Identifying events, awards and other opportunities to promote the brand. Assisting in organizing events. Preparing awards submissions.
  • Search OJEU to identify opportunities for consideration.
  • Check for completeness of all elements and request any missing documents from client. Clearly file all documents on Sharepoint and provide a single hardcopy folder for team use.
  • Populate Tender Plan with all inputs, contributors, response format, score, deadlines, etc. Populate response pro-formas for each question with guidance, word count, score.
  • Carry out a first pass on common non-technical / generic responses.
  • Monitor incoming updates and client communicates. Notify and disseminate new material to all team members, including estimator. Assist in preparing presentations and handouts as required.
  • Communicate input requirements and set deadlines for all contributors, chasing as necessary. Gather all input and integrate into response document.
  • Collate and submit all response documents in Tender Plan in accordance with client requirements (upload, post, both).
  • Comply with procedures of Quality Manual.
  • Make a copy of all new material to the bid library in accordance with agreed system.

Specific Experience

The following skills / experience are minimum requirements:

  • Proven experience as a bid coordinator for at least 2 years.
  • Have worked at bid coordinator level in a Main Contractor active in the London residential market.
  • Knowledgeable about the construction and development industry with an ability to originate a substantial proportion of technical / methodology responses, and an ability to rapidly glean input from subject matter experts and synthesise it into a coherent and technically accurate responses.
  • Ability to work to deadlines on multiple PQQs/Tenders and prioritise accordingly.
  • Possess an ability to liaise confidently at all levels.
  • Able to meet the challenges of a busy workload.
  • Experience in desktop publishing software such as Adobe Indesign (desirable).
  • Excellent organizational skills.
  • Excellent knowledge of MS Office.
  • The ability to produce high standard work which meets the client and business requirements.
